We offer the following services to resident's associations looking to appoint a new Managing Agent but we can tailor any aspect to your specific requirements:
Preparation of maintenance schedules and repairs to include gardening, cleaning, window cleaning and other general maintenance.
Monthly or Quarterly inspections of the property.
Prompt resolution of any day to day issues found or reported.
Provide advice on major works where applicable.
Annual service charge collection and arrears management.
Payment of supplier invoices
Provision of monthly budget information showing costs and expenditure.
Preparation of annual accounts through Accountant/Auditor.
Arrange appropriate insurance for Buildings and Director’s/Officers.
Provide advice on breaches of the lease, recommend actions and issue letters as necessary.
Provide advice to Landlords and tenants on current procedures and practice.
Advise and update Directors on any forthcoming legislation, Section 20 notices, Health and Safety etc.
Issuing Section 20 Notices where appropriate for contract works where the costs exceed £250 including VAT per flat.
Act as Company Secretary and registered office if required.
Organise and arrange meetings to include AGM’s, EGM’s, and Directors.
Take minutes of meetings and distribute promptly.
Liaise with the Accountant/Auditor to ensure that the Company accounts and Annual Return are filed in a timely manner.
Attend to and respond promptly and courteously to routine enquiries from residents.
Respond promptly to solicitor’s enquiries regarding the sale of a flat where required.
Provide copies of audited accounts and insurance schedules.
Issue letters regarding noise disturbance or complaints where appropriate.
Provide regular status updates to Directors on Finance, Maintenance and Legal matters.
Ensure that the Directors are fully informed and updated regarding agreed action points and any resident communications.
Attend quarterly Directors meetings
